the problem.
Exhibition Hub runs 93 immersive exhibitions worldwide. The business had doubled in four years, and the finance team was still managing everything over email with four people just trying to keep up.
They’d tried proper ERPs: Odoo, Winbooks, accounting software. All too rigid, all built for finance teams. The production manager setting up a new exhibition in a new city doesn’t want to learn accounting software. They just need to submit a document and get back to work.
what we built.
We simplified the submission side first. A short form anyone could use without training, a clear set of states for the finance team to track, comments threaded to each invoice so nothing gets lost in a separate email chain, and automatic forwarding to the external accountant once it’s processed.
New country, new team. Same form. That’s the whole handoff.
the results.
- 4 invoice managers → 1, while growing to 93 locations
- 200–300 payment requests a day handled without adding headcount
- Would’ve needed 2–3 more hires to keep up with growth
- Real-time cash flow without waiting on a spreadsheet
Omar’s estimate: without this, they’d need seven people doing what one does now.
