how exhibition hub scaled invoice approvals
Exhibition Hub moved invoice requests, approvals, and accountant handoffs into Fibery so the finance team could handle 200–300 payment requests a day without adding more chaos.
project context at a glance.
Exhibition Hub runs 93 immersive exhibitions worldwide, with invoice requests coming in from venues, suppliers, and production teams across countries. Before Fibery, the finance team handled approvals and follow-up through email, then forwarded each processed invoice manually to external accountants. They tested more traditional ERP systems, but those tools were too rigid and too finance-first for the people actually submitting the requests. They needed a workflow their teams could use without training for accounting.

what changed after the implementation went live.
As Exhibition Hub expanded from 40 exhibitions to 93, the invoice workload kept growing. Fibery gave the team a submission and approval flow they could scale, which let them go from four or five people managing invoices down to one person overseeing the process.
The system now handles 200–300 payment requests a day across Europe and beyond, including supplier invoices, venue costs, and production expenses. That volume used to mean constant inbox triage. Now it runs through a clear workflow with states, comments, and automation.
Before, every processed invoice had to be emailed manually to an external accountant. Now, once the request is checked and approved in Fibery, it gets routed automatically. The finance team can still see the full log, but they are no longer doing that handoff one invoice at a time.
Because the requests, statuses, and payment data all live in one place, finance can see what is pending, approved, missing information, or already sent out. That gives the team real-time visibility into cash flow instead of waiting for updates to trickle through email and spreadsheets.
what the team said about the work.
"We went from four people managing invoices down to one... while doubling in size."
"Fibery is flexible and you can construct it how you want. We needed a system for Exhibition Hub — not a system you can use everywhere."

want this for your team?
Here's who we work best with:
- Your team is 10–100 people and growing fast.
- Your tools don't talk to each other.
- You tried fixing it yourself and made it… interesting.
- You're ready to hand the systems headache to someone else.
- You have budget for proper implementation (not just advice).
- You found Fibery and want someone who actually knows it inside out.
